Holiday & Staff Cover

Holiday & Staff Cover

Short-term reception and admin cover for when you're away, or your receptionist is — so you can actually switch off, instead of wondering if Mrs Smith has her next appointment, whether Ms Jones ever got a reply, or if Mr Williams still needs information.

There are agencies for locum cover when your dentist or doctor is away, and staffing agencies for nurse cover. The Aesthetic Agent works the same way — for your receptionist and patient coordinator...or for you! if you're usually your own reception and admin, juggling everything yourself

What this covers

  • Full inbox and DM monitoring while you're away, so nothing sits unanswered
  • Supporting and guiding patients with genuine treatment understanding, not just a generic booking service
  • Managing patient bookings, rescheduling and cancellations day to day
  • Reception cover during staff annual leave, sickness, or a gap between hires
  • A single, calm point of contact for patients throughout
  • A clear handover before you go, and a full catch-up when you're back

Who this is for

  • Clinic owners taking annual leave who don't want to be checking their phone by the pool
  • Practices whose receptionist is off sick, on leave, or between roles
  • Owners currently handling everything themselves who need short-term breathing room
  • Clinics that want proper cover without committing to a permanent hire

How it works

Getting cover in place is simple

01

Handover

Before you go, we go through outstanding enquiries, upcoming appointments and anything sensitive that needs a heads-up.

02

Cover

I manage your messages, bookings and patient queries for the agreed period, exactly as you would.

03

Return

A full handover back to you when you're back, so you land at full clarity, not a backlog.

Questions

Frequently asked

How much notice do you need?

Ideally one to two weeks so we can do a proper handover, though shorter notice can sometimes be accommodated depending on availability.

What if something urgent comes up while I'm away?

We agree what counts as urgent before you go, so you're only interrupted when it genuinely can't wait.

Is this only for when I'm on holiday, or can it cover my receptionist too?

Both — this works equally well for your own time away or for covering a staff member's leave, sickness, or a gap between hires.

Let's talk about your clinic.
